Privacy Policy

This policy explains what personal information we collect, how we use it, and the rights you have over it. Last updated 3 August 2026.

Edinburgh, Fife & Lothians Tutors ("we", "us", "our") provides online tutoring and learning programmes to students across Scotland. We are the data controller for the personal information described in this policy. If you have any questions, contact us at hello@edinburghfifeandlothianstutors.co.uk.

Information we collect

We only collect what we need in order to respond to you and deliver tutoring.

  • Enquiry details you submit: parent or guardian name, student name, email address, phone number, year group, subject and any message you write.
  • Booking and programme details: the sessions or programme a student is enrolled in, attendance and scheduling information.
  • Payment records: amounts, dates and references. Card details are handled by our payment provider and are never stored by us.
  • Lesson materials and progress notes created during tutoring.
  • Technical information: IP address, browser type, pages visited and referring site, collected through analytics cookies.

How we use your information

  • To reply to your enquiry and arrange a call.
  • To match a student with a suitable tutor and schedule lessons.
  • To deliver tutoring, share resources and report on progress.
  • To take payment and keep accounting records.
  • To send service messages about lessons a student is enrolled in.
  • To understand how the website is used so we can improve it.

Legal bases

We rely on contract where processing is needed to provide tutoring you have booked, legitimate interests to respond to enquiries and run our business safely and efficiently, consent for analytics cookies and any marketing email, and legal obligation for tax and accounting records.

Students under 16

Tutoring is arranged with a parent or guardian, who provides consent for a student under 16. We keep the minimum information needed to teach the student well, and we do not use student information for marketing.

Sharing your information

We never sell your information. We share it only with the tutor teaching your child, and with service providers who help us operate: email and file hosting, video lesson software, scheduling tools, payment processing, and website analytics. All providers are bound to keep the information secure and to use it only on our instructions. We may also disclose information where the law requires it, or where there is a safeguarding concern.

International transfers

Some of our providers store data outside the UK. Where they do, transfers are protected by UK adequacy regulations or standard contractual clauses.

How long we keep it

Enquiries that do not become bookings are deleted within 12 months. Records for current students are kept for the duration of tutoring and for 2 years afterwards. Financial records are kept for 6 years as required by HMRC.

Cookies and analytics

This website uses Google Analytics to measure how visitors find and use the site. These cookies record anonymised usage data, not names or contact details. You can block or delete cookies in your browser settings at any time, and you can opt out of Google Analytics using the Google Analytics opt-out browser add-on. We do not use advertising or profiling cookies.

Your rights

You have the right to ask for a copy of the information we hold about you, to have inaccurate information corrected, to ask us to delete information we no longer need, to object to or restrict certain processing, to withdraw consent at any time, and to receive your information in a portable format. Email us and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Security

Information is held in access-controlled accounts protected by strong passwords and two-factor authentication. Only the people who need access to teach or administer a booking have it.

Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last changed.
